This policy explains how Automotivate Leasing Limited handles personal information when you use the Automotivate Leasing section of this website, contact our leasing team, request a quotation or otherwise interact with our leasing services.
1. Who we are
Automotivate Leasing Limited is the controller responsible for the personal information described in this policy.
We are registered in England under company number 16683839. Our registered office is Montgomery House, Sheephouse Wood, Stocksbridge, Sheffield, S36 4GS. Our trading address is F17, Building 330, Westcott Venture Park, HP18 0NP. Our FCA reference number is 1043065.
Automotivate Leasing Limited is an independent credit broker, not a lender, and is an Appointed Representative of Fleet Alliance Limited. Fleet Alliance Limited is authorised and regulated by the Financial Conduct Authority under reference 673150.
2. Information we collect
Depending on how you interact with us, we may collect:
- Identity and contact details, including your name, business name, role, address, email address and telephone number
- Vehicle and quotation requirements, including vehicle type, term, annual mileage, maintenance preferences, budget and timing
- Enquiry, correspondence, quotation, transaction and customer-service records
- Information needed to progress an application, which may include business, financial, director or guarantor information requested by Fleet Alliance Limited or a proposed funder
- Marketing preferences and records of opt-outs
- Cookie choices and limited technical or security information used to operate and protect the website
- Website-usage information where you consent, and email-campaign attribution information through Dynamo Tracking, such as pages visited, referrers, interactions, browser or device characteristics, language and approximate location
3. How we obtain information
We usually obtain information directly from you, your business or someone authorised to act on its behalf. We may also receive relevant information from Fleet Alliance Limited, funders, vehicle suppliers, service providers, referrals, public business sources or existing business relationships where lawful and appropriate.
4. How and why we use your information
We may use personal information to:
- Respond to enquiries and prepare vehicle-leasing quotations
- Progress an application you ask us to make through Fleet Alliance Limited and an appropriate funder
- Arrange vehicles and related services and support the administration of customer relationships
- Maintain business, compliance, complaint and transaction records
- Send relevant business-to-business information where permitted, with a clear opt-out
- Operate, secure, measure and improve the website
- Establish, exercise or defend legal claims and meet legal or regulatory obligations
Our lawful bases may include taking steps at your request before entering into a contract, performing a contract, complying with a legal obligation, and our legitimate interests in responding to business enquiries, providing and improving services, securing systems and conducting proportionate business-to-business marketing. Where consent is required, including for optional cookies or particular marketing activity, you may withdraw it at any time.
5. Sharing your information
We do not sell or rent personal information. Where necessary for the purposes above, we may share relevant information with:
- Fleet Alliance Limited and appropriate funders or finance providers
- Vehicle manufacturers, dealers, suppliers, conversion partners, maintenance providers and delivery companies
- Website hosting, data-storage, IT, communications, analytics, customer-relationship and professional service providers acting under appropriate data-protection obligations
- Professional advisers, insurers, regulators, courts, law-enforcement bodies or public authorities where required
- A purchaser or successor if our business or relevant assets are reorganised, sold or transferred
Fleet Alliance Limited, funders and some other recipients may act as independent controllers and provide their own privacy information. A quotation request does not itself authorise a credit search; any application and relevant checks will be explained separately before they are undertaken.
6. International transfers
Some service providers may process information outside the United Kingdom. Where UK data-protection law requires it, we use an applicable adequacy decision, approved contractual safeguards or another lawful transfer mechanism, together with appropriate supplementary protections where needed.
7. Retention and security
We review general leasing enquiries and quotation requests after 12 months and delete them when there is no continuing enquiry, customer relationship, agreement, legal claim or other justified business or legal need. Records connected with an application, agreement, complaint or regulatory obligation may need to be kept for longer in accordance with the applicable retention requirement.
Test, duplicate and spam submissions are deleted when identified. We use appropriate technical and organisational measures designed to protect personal information, and access is restricted to people who need it for their work.
8. Cookies and similar technologies
Essential technology may be used to operate the website and remember your choices. Dynamo Tracking is used as an essential service for email-campaign attribution on customer-facing production pages. Optional analytics and marketing technologies remain disabled unless you consent to the relevant category. You can accept, reject or change optional categories through the Cookie settings button at the bottom of the website. See the Automotivate Leasing Cookie Policy for more information.
9. Business-to-business marketing
We may send relevant commercial vehicle leasing and fleet information to appropriate corporate contacts where permitted by law and where our legitimate interests are not overridden by the individual’s rights. Every marketing email will identify us and provide an easy way to opt out. See our Legitimate Interests Assessment.
10. Your rights
Depending on the circumstances, you may have the right to:
- Request access to and a copy of your personal information
- Ask us to correct inaccurate or incomplete information
- Ask us to erase information or restrict its use
- Object to processing based on legitimate interests or to direct marketing
- Receive certain information in a portable format
- Withdraw consent where processing relies on consent
- Complain to the Information Commissioner’s Office
These rights are not absolute and exemptions may apply. We may need to verify your identity before acting on a request.
11. Automated decision-making and credit assessment
Automotivate Leasing Limited does not use this website to make solely automated decisions about individuals that produce legal or similarly significant effects. Fleet Alliance Limited or a funder may use its own systems when assessing an application and should explain any relevant processing in its own privacy information.
12. Complaints and contacting us
To exercise a right or raise a concern about how we use personal information, email leasing@automotivate.co.uk, call 01865 20 30 40, or write to us using the address below.
If you remain dissatisfied, you may complain to the Information Commissioner’s Office. Guidance is available at ico.org.uk.
13. Changes to this policy
We may update this policy when our services, processing activities, suppliers or legal obligations change. The current version will be published on this page.
